Getting started

Thank you for being a volunteer at the Asia Pacific Dodgeball Invitational 2024. This event couldn’t happen without you!

 

If you need help at any time, please reach out to us at info@apidodgeball.org. If you’re at the event, come and find us at the duty desks or in the tournament office.

A volunteer roster is available here

We need to pack down courts from 1pm to 5pm on Sunday or from 3pm onwards on Monday. Any teams who are available are encouraged to help. Thanks!

 

There are four volunteer roles:

1. Referees

2. Duty desk

3. Merchandise & jersey swap station

4. Logistics

Referee information

Using the two-way radios

Operating a two-way

Watch the video below for tips on how to operate a two-way radio. Note that we will be using a different model of two-way radio but the information in the video still applies.

 

Call signs

Your call sign is the role you are performing. E.G. if you are at Duty Desk A then your call sign is “Duty Desk A”. We use roles as the people will be changing roles throughout the tournament and it can be a bit hard to remember who is where.

 

If you need First Aid assistance, call “St John Ambulance” and tell them where you need help.

 

If you need one of the organising committee, or you want to talk to someone in particular, use their first name. E.G. “Lauren” or “Conor”.

 

What to say

Before speaking:

Think about what you want to say.

Make sure there isn’t a conversation already underway. Only one person can be talking at a time.

Starting a conversation:

Say “<your call sign>  calling <recipient’s call sign>”. E.G. Duty Desk A calling Rob.

The recipient should acknowledge by saying “This is <receiver call sign>”. E.G. “This is Rob”.

During the conversation:

Speak at a normal volume and pace. No need to shout!

Remember to release the PTT button when you finish your message, otherwise no one else can talk!

You do not need to use two-way radio jargon. Just speak normally.

Ending a conversation:

Stop talking :). No need to say ‘over’ or ‘out’ – we’re not that formal at API!

Here’s what you will be doing:

1. Selling apparel from AKU

2. Selling strapping tape.

3. Jersey swap. 

 

When you start your shift we will give you an overview of what is being sold and how to use the Square Point of Sale system

AKU Apparel 

There is a very limited quantity for sale – most people will have ordered online before the event.

Prices are available on the AKU website and set up in the Square app on the iPad.

 

All sales are to be entered into the Square app on the iPad, even for cash sales. We are not holding much cash at the merchandise stand so card payment is preferred.

 

Pick-up point for online orders. These are stored in the Tournament Office. If someone arrives to collect an online order, use the two-way radio to ask for Lauren, Conor or Rob.

Strapping tape

 

There are two types: 

– Rigid strapping tape: AUD$8 per roll

– Waterproof Kinesiology Sports Tape: AUD$10 per roll

Details can be found on the Player Info page on the website.

 

There is a box of each type of tape at the merchandise stand. Rolls are not individually wrapped – when someone buys are roll, just hand them one from the box.

Jersey swap 

 

Read the “Jersey swap station” information on the Player information page.

 

Additional things to know:

Keep jerseys being sold and jerseys being swapped separate. If someone wants to do a swap, they can only swap with other jerseys available to swap.

All jerseys must be tagged and the tag must not leave the Jersey Swap station. This is important so we know who provided the jersey and, if its being sold, who to provide payment to.

There are blank tags available at the table. Fill one out each time a new jersey arrives.

When a jersey is swapped or sold, remove the tag before it leaves and write on the tag what happened to the jersey.

Only exception is immediate swaps – if two people meet at the Jersey Swap station and swap straight away then there is no need to create tags.

– Hang up as many jerseys as you can on coat hangers

– Payments to players selling jerseys will be handled by Lauren. Players will be contacted if their jersey sells (which is why we need their details!)

Overview of the Logistics Role

Who needs to know this? Logistics volunteers.

 

 

Get ready to try a lot of different things! The logistics role is to help event organisers do behind-the-scenes tasks to keep the event running smoothly. Here are some examples of what you might be doing:

– Moving tables, chairs and other equipment to different parts of the venue

– Minor repairs if something breaks (e.g if a net gets torn)

– Helping to pack up courts on Sunday as we will be shrinking from 9 courts down to 1

– Supporting the duty desks

– Going across the road to the shopping centre for supplies (don’t worry, we’ll pay for them)

– Troubleshooting if the scoreboards, laptops or PA system has problems

 

This is a really important role! Thanks for volunteering to help.

 

When you start your shift, we will partner you with one of the event organisers initially to help you settle into your role.
